Your role in the story:
The Operations & Equipment department is a dynamic environment where multiple stakeholders, deadlines and activities come together. As Department Assistant you play a key supporting role within the department. You work closely with VP’s, managers and colleagues and help ensure that daily activities, planning and coordination are handled efficiently and consistently.
You support management in their day‑to‑day work and contribute to a well‑organized department by keeping track of agendas, follow‑ups and administrative processes.
What you will be working on:
- Supporting VP’s and managers with their daily activities
- Managing and coordinating agendas, meetings and appointments
- Monitoring and safeguarding departmental deadlines and follow‑up actions
- Preparing, processing and improving documentation and correspondence
- Organizing internal and external meetings, including preparation and follow‑up
- Taking minutes and monitoring action points
- Supporting and maintaining departmental systems such as SharePoint and CRM
- Acting as a point of contact for internal and external communication
- Arranging travel, visits and events where required
- Facilitates effective communication by connecting the Vessel Management Team with the right stakeholders for their queries
Key ingredients for success:
- MBO level of working and thinking
- At least 5+ years of relevant experience in a similar role
- Strong administrative and organizational skills
- Structured, accurate and service‑oriented working style
- Able to manage multiple priorities and stakeholders
- Proactive, reliable and hands‑on attitude
- Comfortable working with confidential information
- Good command of Dutch and English, both written and spoken
- Experience with MS Office; SharePoint experience is a plus
