Privacy Notice – Recruitment and Careers
This section is an addition to the general privacy statement of Heerema and specifically relates to the processing of personal data via the Careers section of www.careers.heerema.com and our recruitment platform SAP SuccessFactors.
What personal data do we collect during recruitment?
When you apply for a position at one of the entities within the Heerema Group (HMC, HFG, HES, or HIGS), we process the following categories of personal data:
- Identification and contact details (name, email address, phone number, address)
- Curriculum Vitae (CV), cover letter, education and work history
- LinkedIn profile (if provided)
- Application history with Heerema
- Any supporting documents or information you voluntarily provide
- Communication and evaluations throughout the recruitment process
- Results from any assessments or tests (if applicable)
- Work permit or residency status (only if relevant)
- References (if submitted)
For what purposes do we process your data?
We process this information for the following purposes:
- To assess your suitability for a vacancy
- To maintain contact with you during the recruitment process
- For administrative purposes related to hiring
- To conduct anonymized statistical analysis of our recruitment process
- To inform you about future job opportunities, if you have given consent
- The processing of your personal data is based on:
- The necessity of processing for entering into or performing a contract (Article 6(1)(b) GDPR)
- Your consent (Article 6(1)(a) GDPR), for example, to retain your data for future vacancies
- Legitimate interests (Article 6(1)(f) GDPR), such as improving our recruitment processes
- Use of SuccessFactors (Recruitment System)
Heerema uses the cloud-based recruitment system SAP SuccessFactors to manage job applications. Your personal data will be stored and processed within this platform. SAP acts as a data processor on behalf of Heerema, and appropriate data processing agreements are in place to ensure GDPR-compliant protection of your information. Data is primarily stored within the European Economic Area (EEA). In the rare event that data is processed outside the EEA, Heerema ensures that appropriate safeguards are applied.
Who has access to your personal data?
Only Heerema employees who are directly involved in the recruitment process (e.g., HR, hiring managers, recruiters) have access to your personal data. In some cases, third-party service providers (such as assessment platforms or technical support) may have access, strictly under a valid data processing agreement and only for the purposes necessary.
Retention periods
- Rejected applicants: Your personal data will be deleted four weeks after the completion of the recruitment process, unless you have provided consent for extended retention.
- Talent pool (future vacancies): With your explicit consent, we will retain your data for up to 12 months after the recruitment process ends.
- Hired applicants: Your data will become part of your personnel file and will then fall under Heerema’s employee privacy policies.
- SAP SuccessFactors implements these retention rules through automated deletion processes once retention periods expire.
You may withdraw your consent or request deletion of your data at any time by contacting us via the contact form or at recruitment@hmc-heerema.com.
Data security
We have implemented appropriate technical and organizational measures to safeguard your personal data against loss, misuse, unauthorized access, or disclosure. This applies both to data you actively provide and data processed within the SuccessFactors platform.
Your rights under GDPR
- As a job applicant, you have the right to:
- Access your personal data
- Correct or delete your data
- Restrict the processing of your data
- Object to the processing of your data
- Data portability
- Withdraw consent (without affecting the lawfulness of processing prior to withdrawal)
