Your role in the story

Together with your team, you are responsible for the support of the commercial and project teams and the quality and control of commercial and project documentation. You will record and control all documentation, both internal and external, using Microsoft SharePoint and the clients' document management systems for multiple projects. You will maintain files of contractual documentation to meet clients’ requirements for inclusion in final documentation packages. You will support the tender and project teams with administration tasks.

 

What you will be working on:

  • Timely processing of documents and correspondence in MS Outlook and SharePoint;
  • Maintaining an up-to-date and complete DMS: organizing, checking, compiling, distributing, and filing tender and project documents;
  • Liaising with project team members, clients and subcontractors / vendors;
  • Organizing travel arrangements and required documentation (visa, forms etc.);
  • Requisition processing, receiving invoices, goods and services in SAP and Infor;
  • Producing a compilation of final documentation packages to meet specific client requirements;
  • Archiving all tender and project documentation.

 

Key ingredients for succes:

The ideal candidate is a proactive, communicative, conscientious and accurate, service oriented and has a growth mindset. Furthermore, you have:

  • Minimum vocational (MBO-4) thinking level;
  • Good command of the English language (written and spoken);
  • Knowledge of MS Office (MS SharePoint is a plus);
  • Minimum of 0-2 years administrative work experience.
